8. October 2015Shipping companies need to handle a huge volume of documents of all types:
- Technical, nautical and new building documentation,
- Charter and voyage documentation, charter parties, charter related invoices,
- Procedures to comply with rules and regulations (e.g. for ISM / ISPS / TMSA),
- Correspondence – both third party and internal,
- Vessel reports,
- Company circulars,
- Incoming and outgoing invoices,
- … and many, many more.
Over the past couple of months, we have developed a new document management module for the CODieBOARD# maritime-management-center, which is based on the ISM and Circular Letter management element of our well-established Tiquam add-on for the CODie ISMAN program.
The aim is to process as much documentation as possible in one single system – our CODieBOARD# maritime-management-center. The system will cover the whole document lifecycle: Creation, approval, revisions, cancellation or archiving. It will be audit-proof and of course it will be delivered with a ship version too.
In addition we are currently working on a second module, which will enable the user to design and distribute any kind of report for the fleet. This will be a major step towards electronic documentation, as the majority of today’s reports are usually exchanged in an Excel file format between vessels and shore office.
The new reporting will be event-driven (e.g. Ports State Control, Inspection, Audit – but also Cargo operations, Ship under way etc). One or more detailed reports can be added to any event, describing its details and the connected findings – e.g. several inspection or survey findings will be filed under the same inspection event, or a stevedore damage report will be filed under a “Cargo operations” event in a certain port.
Sophisticated filtering and analysis functions in the reporting module will make sure that the software is a handy tool for any superintendent or auditor within the shipping company.
